Welcome to Speakaway. We care deeply about your privacy. Speakaway is a privacy-first macOS app for meeting transcription and live subtitles, designed so that your recordings and transcripts stay on your own Mac by default. This Privacy Policy explains what limited information we collect, how we use it, and the choices you have.

01Who We Are

Speakaway is an independent macOS application. The app and its services are operated by the Speakaway project (“Speakaway”, “we”, “us”, or “our”).

02Our Privacy-First Approach

Before describing what we collect, here is what we want you to know up front:

Your audio recordings stay on your Mac.

Speakaway captures audio from your microphone and system audio locally. Recordings are never uploaded to our servers.

Your transcripts stay on your Mac.

Speech-to-text happens entirely on-device using WhisperKit / Parakeet. Transcripts are stored locally in your app data and are not synced or uploaded by default.

Only when you actively use an AI feature...

Does your transcript text leave your device (such as for summarization or translation) — and only for the purpose of processing that specific request.

We try to collect the minimum amount of data needed to make Speakaway work.

03Information We Collect

3.1 Account Information

When you sign in to Speakaway (using Google Sign-In through Supabase Authentication), we receive:

  • Your email address
  • Your name
  • Your profile picture URL (from your Google account)

We use this to identify your account, sync your subscription status, and communicate with you about the service.

3.2 Audio Recordings

  • Audio recordings made through Speakaway are stored only on your local device.
  • We do not upload, access, or store your audio on our servers.

3.3 Transcripts (Stored Locally)

  • Transcripts generated by Speakaway are stored only on your local device by default.
  • We do not upload them or have access to them — unless you choose to use an AI feature (see Section 3.4).

3.4 Transcript Data Sent When Using AI Features

If you choose to use an AI-powered feature (such as meeting summarization or translation), the following information is sent from your Mac to our backend:

  • The raw transcript text for the meeting or selection you are processing
  • Limited metadata needed to process the request, such as your user ID, the source/target language, and similar request parameters

This data is then forwarded to a third-party Large Language Model (LLM) provider to generate the summary or translation. See Section 5 for the providers we may use.

Retention:Transcripts sent for AI processing are stored on our backend (Supabase) on a short-term basis — typically up to 30–90 days — and are then automatically deleted. You can also request earlier deletion at any time (see Section 7).

3.5 Subscription and Payment Information

  • Payments are processed by Polar, who acts as the Merchant of Record.
  • Polar handles your payment details (such as card information and billing address) directly. We do not see or store your full payment details.
  • We receive only the information needed to manage your subscription, such as your email, subscription plan, status (active / canceled / expired), and renewal dates.

3.6 Diagnostic and Error Data

To keep Speakaway stable, we use Sentry to collect anonymous crash reports and error diagnostics. This may include:

  • A non-identifying device or installation identifier
  • App version and operating system version
  • Error stack traces and technical context about what went wrong

Sentry data is used solely to find and fix bugs. We do not use it for advertising or profiling.

04How We Use Your Information

We use the information described above to:

  • Provide the core Speakaway service (sign-in, license, sync of subscription status)
  • Provide AI features when you explicitly request them
  • Process payments and manage your subscription
  • Diagnose crashes and improve app stability
  • Communicate with you about your account, transactional matters, and support
  • Comply with legal obligations

We do not sell your personal information, and we do not use your transcripts, recordings, or account data to train AI models.

05Third-Party Services

Speakaway relies on a small number of trusted third-party providers. Each has its own privacy policy and data handling practices.

The specific LLM provider used for a given feature may change over time as we improve the product. In all cases, the data shared is limited to what is needed to fulfill your AI request.

06Data Retention and Storage

  • Recordings and transcripts on your Mac remain on your device until you delete them. They are entirely under your control.
  • Account data (email, name, profile picture, subscription status) is retained for as long as your account exists.
  • Transcripts sent for AI processing are stored short-term on our backend (typically up to 30–90 days) and are then deleted automatically.
  • Crash and diagnostic data in Sentry is retained according to Sentry's default retention settings and is not tied to your account.

When you delete your account, your account record and any associated server-side data is removed within a reasonable period, subject to any legal obligations we may have to retain limited records (e.g., for tax or fraud-prevention purposes).

07Your Rights and Choices

Depending on where you live, you may have the following rights regarding your personal data. We honor these rights for all users, regardless of jurisdiction, to the extent reasonably possible.

7.1 Rights Under GDPR (EU / EEA / UK users)

  • Right to accessrequest a copy of the personal data we hold.

  • Right to erasureask us to delete your personal data.
  • Right to restrict processinglimit how we use your data.

7.2 Rights Under CCPA / CPRA (California residents)

  • Right to opt out of sale/sharingwe do NOT sell or share data for behavioral ads.
  • Right to non-discriminationfor exercising your privacy rights.

7.3 How to Exercise Your Rights

To exercise any of these rights, email us at speakaway.contact@gmail.com. We will respond within the timeframes required by applicable law. We may need to verify your identity before fulfilling certain requests.

You can also:

  • Delete your local recordings and transcripts at any time directly from within the app or from your file system.
  • Cancel your subscription at any time through Polar.

08Security

We use industry-standard practices to protect the limited data we do collect:

  • TLS encryption in transit for all backend communications
  • Authentication and access controls on our Supabase backend
  • Row-level security policies on personal data tables
  • Short retention periods for any transcript data sent for AI processing

No method of transmission or storage is 100% secure, but we work to protect your information using reasonable safeguards.

09International Data Transfers

Speakaway's backend services and third-party providers may operate in jurisdictions different from yours, including the United States and the European Union. By using Speakaway, you understand that your information may be transferred to and processed in these jurisdictions. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.

10Children's Privacy

Speakaway is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

If you are in a jurisdiction where the minimum age for digital consent is higher (such as 16 in parts of the EU), you must meet that local age requirement to use Speakaway.

11Marketing Communications

We do not currently send marketing or promotional emails. We may do so in the future. If we begin sending marketing emails, we will:

  • Only send them to users who have opted in, where required by law
  • Include a clear unsubscribe link in every marketing email
  • Continue to send necessary transactional emails (such as receipts, account, security, and support messages) regardless of marketing preferences

12Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we make material changes, we will update the “Last Updated” date at the top of this page and, where appropriate, notify you through the app or by email. We encourage you to review this page periodically.
